AI tools that answer questions about your QuickBooks Online data
There are three realistic options. Intuit Intelligence is built into QuickBooks, with AI agents for accounting, payroll, finance and tax that vary by plan, some in beta. ChatGPT or Claude can answer from your books once you add a QuickBooks app or connector. Separate assistants such as Nella, Float or Calxa connect through Intuit's sign-in and focus on cash, profit or forecasting. Check read-versus-write access before connecting any of them.
The short version
If your business runs on QuickBooks Online, there are three realistic ways to get plain-English answers from your own figures:
- Intuit’s own AI inside QuickBooks. Intuit describes Intuit Intelligence as “the engine that powers AI in your QuickBooks”, with AI agents for accounting, payments, customers, payroll, finance, sales tax and business tax. Features vary by plan and some are in beta.
- A general chat assistant connected to your books. ChatGPT or Claude can work with your QuickBooks data when you add an app or connector that has permission to read it.
- A separate assistant that sits on top of the ledger. These connect through QuickBooks’ own sign-in, read your data and focus on a narrower job, such as cash-flow forecasting or a finance health check.
None of these is the right choice for every business. The useful questions are what each one can see, whether it can change anything, and where you want to ask.
Option 1: Intuit Intelligence and the QuickBooks AI agents
Intuit’s AI lives inside QuickBooks itself. According to Intuit, you can ask questions in plain language, and its agents work across bookkeeping, payments, customers, payroll and tax, with review by a CPA or bookkeeper available. Intuit says its Finance AI agent is available on QuickBooks Online Advanced and Intuit Enterprise Suite in the US, and that its business tax agent is in beta.
The main advantage is that nothing extra needs connecting: the AI already sits next to your data. Because availability depends on your plan, it is worth checking what your own subscription includes before comparing it with anything else. We compare the two approaches in more detail in our comparison with Intuit Intelligence.
Option 2: ChatGPT or Claude with a QuickBooks connection
Many owners already ask ChatGPT or Claude general business questions. On their own, those assistants cannot see your books, so any answer about your cash or margins is guesswork. Adding an app or connector changes that: the assistant can then pull your actual figures when you ask.
One route is the Nella app in ChatGPT or its connector for Claude, which read your QuickBooks Online data through Intuit’s sign-in and answer in the chat you already use. Setup steps are on the ChatGPT help page and the Claude help page. Whichever connector you consider, check who built it, what it can access and whether it can write back to your books.
Option 3: An assistant built on top of the ledger
A third group of tools connects to QuickBooks Online and specializes. Float, for example, describes itself as short-term cash-flow forecasting from live accounting data, for Xero and QuickBooks Online. Calxa covers budgeting, cash-flow forecasting, KPIs and consolidations across several ledgers, including QuickBooks Online.
Nella is in this group. It reads QuickBooks Online and answers questions about cash and runway, profit and KPIs, a monthly management pack, anomaly flags and a federal filing calendar, and starts with a 0–100 finance health check score. You can ask on the web, on WhatsApp, or through ChatGPT and Claude. See how the QuickBooks integration works and the wider guide to AI CFO tools.
Note that some products, such as Digits, are their own accounting system rather than an add-on to QuickBooks, so they belong in a different comparison.
How the options compare
| Ledger’s own AI (Intuit Intelligence) | General chat assistant + connector | Assistant on top of the ledger | |
|---|---|---|---|
| Where you ask | Inside QuickBooks | ChatGPT or Claude | Its own app; some also in chat assistants or messaging |
| Extra setup | None beyond your plan | Install the app or connector and sign in | Sign in through QuickBooks |
| Can it change your books? | Intuit describes agents that automate tasks; check settings for your plan | Depends on the connector’s permissions | Depends on the tool; check before connecting |
| Scope | Broad: bookkeeping, payments, payroll, tax (some beta) | Whatever the connector exposes | Usually narrower: forecasting, reporting, health checks |
| Availability | Varies by QuickBooks plan | Varies by assistant plan and connector | Separate subscription or free tier |
What to check before connecting anything to QuickBooks
- Read versus write. Find out whether the tool only reads your data or can also create, edit or delete transactions. If it can write, check whether each change needs your approval.
- The permissions screen. When Intuit’s sign-in asks you to authorize an app, read what access is being granted and which company file it applies to.
- Where your data goes. Look for a plain statement of how data is stored, whether it is used to train AI models, and how to disconnect and delete it.
- Who answers when it gets complicated. An assistant can show the numbers; it cannot take professional responsibility for a judgment call.

Limits worth knowing
- Sales tax and state taxes. Intuit lists a sales tax agent among its AI agents. Not every assistant covers this: some, including the ledger add-ons described above, focus on federal dates and on cash and profit, and do not calculate sales tax, nexus or state taxes.
- Data quality. Every option answers from the books it can see. If bank feeds are behind or transactions are miscategorized, the answers will be too.
- Judgment. Questions such as how to structure pay, whether an expense is deductible or how to treat a one-off transaction need a CPA or qualified accountant.
