How to track Form 941 and 1099-NEC deadlines from QuickBooks

For tax year 2026, Form 941 is due April 30, July 31 and November 2, 2026 (October 31 is a Saturday), and February 1, 2027 for Q4. Forms 940, W-2 and 1099-NEC are due February 1, 2027 (IRS). QuickBooks Online Payroll lists upcoming filings on its Payroll taxes page; 1099 reports show contractor totals against the $2,000 threshold; assistants such as Nella combine both into one calendar without filing anything.

The short version

Most small employers using QuickBooks deal with four federal forms: Form 941 every quarter, and Forms 940, W-2/W-3 and 1099-NEC once a year. The IRS sets the dates; QuickBooks and other tools only help you see them. QuickBooks Online Payroll lists upcoming filings on its Payroll taxes page, QuickBooks reports show what you paid contractors, and a separate assistant can pull both into one calendar. Filing itself is done through payroll software, a tax professional or the IRS.

What each form is

  • Form 941, Employer’s Quarterly Federal Tax Return. Reports federal income tax withheld from wages plus Social Security and Medicare taxes for the quarter. See the Form 941 glossary entry.
  • Form 940. The annual return for federal unemployment (FUTA) tax.
  • Forms W-2 and W-3. W-2 reports each employee’s wages and withholding for the year; W-3 is the transmittal that goes to the Social Security Administration with Copy A of the W-2s.
  • Form 1099-NEC. Reports nonemployee compensation, such as payments to independent contractors. For tax years beginning after 2025, the IRS raised the reporting threshold to $2,000 (it was $600), and says it may be adjusted for inflation from calendar year 2027 (IRS Instructions for Forms 1099-MISC and 1099-NEC, Rev. 12/2026). Tax year 2026 due dates

The IRS rule for these forms is that if a due date falls on a Saturday, Sunday or legal holiday, you may file on the next business day (IRS, Employment tax due dates). The dates below apply that rule to calendar 2026 and early 2027.

Form (tax year 2026) Period Regular due date If all deposits were made on time
Form 941 Q1 (Jan–Mar) April 30, 2026 May 11, 2026 (May 10 is a Sunday)
Form 941 Q2 (Apr–Jun) July 31, 2026 August 10, 2026
Form 941 Q3 (Jul–Sep) November 2, 2026 (October 31 is a Saturday) November 10, 2026
Form 941 Q4 (Oct–Dec) February 1, 2027 (January 31 is a Sunday) February 10, 2027
Form 940 Calendar 2026 February 1, 2027 February 10, 2027 (if all FUTA tax was deposited when due)
Forms W-2 and W-3 Calendar 2026 February 1, 2027 (to employees and to SSA) Not applicable
Form 1099-NEC Calendar 2026 February 1, 2027 (to IRS and to recipients) Not applicable

Sources: Instructions for Form 941 (Rev. March 2026) say Form 941 is due by the last day of the month after the quarter ends, and that employers who made timely deposits in full may file by the 10th day of the second month after the quarter. The 2026 Instructions for Forms W-2 and W-3 give February 1, 2027. The Form 940 and 1099-NEC dates apply the January 31 rule and next-business-day rule to 2027. Our US tax deadlines page lists the wider federal calendar.

Deposits are not the same as returns

A return such as Form 941 reports what was owed for the period. Deposits are the payments of the tax itself, and they usually fall due more often. In plain terms, from the IRS employment tax due dates page:

  • Monthly depositors deposit taxes for wages paid in a month by the 15th of the following month.
  • Semiweekly depositors deposit taxes for paydays Wednesday to Friday by the following Wednesday, and for paydays Saturday to Tuesday by the following Friday.
  • If you accumulate $100,000 or more in taxes on any day, the deposit is due by the next business day.

Which schedule applies depends on your lookback-period tax liability; Publication 15 (2026) explains how it is worked out. The “10 extra days” in the table above only apply when every deposit for the period was made on time.

How to see these dates from QuickBooks

QuickBooks Online Payroll

Intuit says the Payroll taxes page (Payroll > Payroll taxes) shows payments under “Coming up” and “Scheduled”, and forms under a Filings tab, with Form 941 typically due quarterly and Forms 940 and 944 at year-end. Intuit also says QuickBooks handles payroll tax payments and filings for you on its payroll plans, and you can preview a form before it is filed.

Contractor payments and 1099s

QuickBooks Online lets you mark vendors as eligible for a 1099 and run 1099 reports showing what you paid each one in the year. Comparing those totals with the $2,000 threshold for 2026 payments is the starting point for deciding who may need a Form 1099-NEC.

A combined view

If you want payroll and contractor dates in one place alongside your cash position, an assistant that reads QuickBooks can help. Nella connects read-only through Intuit’s sign-in and shows a federal filing calendar for calendar-year filers (including Forms 941, 940 and W-2), plus a Form 1099-NEC contractor review list built from your QuickBooks payments. Nella does not file or pay anything, and does not cover state payroll taxes, so the filing stays with your payroll provider or tax professional. More on the QuickBooks integration.

Where judgment comes in

A calendar can show dates and totals. Whether a worker is an employee or a contractor, whether a payment is reportable, or which deposit schedule applies to you are questions for a CPA or qualified accountant.

Nella provides financial information and education, not accounting or tax advice. Nella shows you the numbers. When a question needs professional judgment, such as a filing or a tax decision, Nella says so and points you to a qualified accountant.

FAQ

Questions people ask

When is Form 941 due for the fourth quarter of 2026?
The regular rule is January 31, but January 31, 2027 is a Sunday, so the IRS next-business-day rule moves it to February 1, 2027. If all deposits for the quarter were made on time, the IRS allows filing by February 10, 2027 (IRS Instructions for Form 941).
What is the 1099-NEC threshold for 2026 payments?
For tax years beginning after 2025, the reporting threshold for nonemployee compensation is $2,000, up from $600. The IRS says it may be adjusted for inflation from calendar year 2027 (IRS Instructions for Forms 1099-MISC and 1099-NEC, Rev. 12/2026).
Is the 941 due date the same as the payroll tax deposit date?
No. Form 941 is a quarterly return. Payroll tax deposits follow a monthly or semiweekly schedule based on your lookback-period liability, with a next-business-day rule once $100,000 or more accumulates (IRS employment tax due dates).
Does QuickBooks file Form 941 for me?
Intuit says QuickBooks Online Payroll handles payroll tax payments and filings on its payroll plans and lists them on the Payroll taxes page. Check what your own plan and settings cover.
Can Nella file my 1099s or 941?
No. Nella shows a federal filing calendar and a 1099-NEC contractor review list from QuickBooks data. It does not file or pay anything and does not cover state taxes.
