Can AI check supplier bills before I pay them? AI accounts payable explained
Yes. AI accounts payable reads the bills in your accounting software and checks each one against its document and the supplier's history: a possible duplicate, coding that does not fit, an unusual amount. Nella runs that check every night, shows what you owe and when it falls due, and changes a bill only when you approve it. What to pay, and when, stays your decision.
What accounts payable involves
Accounts payable is everything between a supplier’s bill arriving and it being paid: checking the bill is right, coding it to the right account, knowing when it falls due, and paying at a time that suits your cash. Mistakes here are quiet. A bill paid twice, coded to the wrong account or claimed in a tax period already filed often goes unnoticed until year end.
What Nella’s Payables role shows
Ask “what do we owe?” and the Payables role answers from your purchase ledger:
- The total owed and how much is already overdue, with the as-at date.
- Timing: what falls due in the next 7 and 30 days, with the largest bills named.
- Pressure on cash: what those payments do to your cash position, worked out with the Treasury role.
- Supplier concentration: where one supplier makes up most of what you owe (on Xero and QuickBooks).
- Exceptions: bills with no due date, which are neither overdue nor current, and bills with no document attached.
It ranks bills by size, due date and the pressure they put on cash. Which to pay first is your choice.
Checking bills before you approve them
Each night Nella checks the bills your accounting software brought in: draft bills waiting for approval in Xero (for example from Hubdoc or Xero’s own capture), and bills and expenses entered in QuickBooks and FreeAgent over the last 35 days. Each is compared with that supplier’s last 12 months in your books. It flags:
- a possible duplicate of a bill already in your books
- coding that does not fit the attached document
- a new account for that supplier
- an amount above the supplier’s usual range
- a VAT or GST period already filed
- a missing due date or document
- coding that does not follow the supplier’s rule
The bills that need a look appear as one item on your team board. Nella changes nothing by itself: a bill changes only when you approve the change on Nella’s card. A monthly bill that carries the same number each month, from a supplier who bills that way, is not flagged as a duplicate. Sage is not yet included.
Supplier rules, statements and receipts
| Feature | What it does |
|---|---|
| Supplier rules | Your standing instruction for one supplier: the account its bills go to, and optionally a tax code and a ceiling. Nella can propose one when your last three or more bills from that supplier agree. Setting a rule changes nothing in your books. |
| Supplier statement check | Give a supplier’s statement to ChatGPT or Claude. Nella matches each line against your books and shows what is missing on either side, amounts that differ, and payments the supplier has not applied. |
| Receipt to your books | Drop a receipt into ChatGPT or Claude. Nella shows the bill in full on its card, with any warning such as a possible duplicate, and posts it only when you press the card’s button. |
| Supplier ABN and GST check (Australia) | Checks the supplier’s ABN with the Australian Business Register when a bill claims GST. A warning, never a block. |
What it does not do
Nella pays nothing and moves no money. It does not decide which bills can wait. It does not decide whether VAT or GST on a bill can be claimed, or whether a cost is allowable for tax; those are questions for your accountant. Every change to your books goes through an entry you approve on Nella’s card, which shows the entry before it posts.
Example · illustrative figures
On Tuesday morning the Payables item lists two bills from the overnight check. A £1,240 bill from a hire company matches one entered three weeks earlier: same supplier, amount and invoice number. A £3,600 bill from a regular supplier is about three times its usual range. The owner deletes the duplicate in Xero, confirms the larger bill with the supplier, and approves the rest. Ask “what do we owe?” and Nella shows £18,400 owed, £2,100 of it overdue, with £7,900 falling due in the next 7 days.
