How do you reconcile a supplier statement with Nella?
Give the statement to ChatGPT or Claude and ask it to check the statement against your books. Nella reads that supplier’s bills, credit notes and payments in Xero, QuickBooks or FreeAgent, matches each line on the statement, and shows four lists: what’s on the statement but not in your books, what’s in your books but not on the statement, amounts that differ, and payments you’ve made that the supplier hasn’t applied. It then compares the statement’s closing balance with what your books say you owe on the same date, and says how much of any difference those lists explain.

The assistant reads the statement
Upload the PDF or paste it into ChatGPT or Claude and ask: “Check this statement from [supplier] against my books.” The assistant reads each line as printed.
Nella reads your books
That supplier’s bills, credit notes and payments, from 30 days before the first line to the statement date, straight from your accounting software.
Every line matched
First by reference, ignoring case, spaces and punctuation; then by the same amount within 7 days. Each entry is used once, amounts must agree to the penny, and each match says which rule made it.
Four lists and the balance
Missing bills, entries the supplier doesn’t show, amounts that differ, and payments not yet applied — with the closing balance compared. A difference the lists don’t explain is shown as unexplained, never forced to zero.
What it does not do
Stated plainly, because a figure you can trust is one whose limits you know.
- It posts nothing from a statement. On Nella Pro, a bill missing from your books can be added on Nella’s approval card, one at a time, when you ask; the other lists are for you to take up with the supplier, and Nella sends nothing to them.
- The check is only as good as the reading of the statement. A misread line shows up as a difference, and you see the statement and the lists side by side.
- Where a supplier invoices the same amount every week, matching by amount within 7 days can pair the wrong two entries. Each match shows the rule that made it, so you can check.
- It covers Xero, QuickBooks and FreeAgent. Sage is not yet included.
The statement is used for the one check and is not stored. Where Xero’s aged payables report is not available to Nella, the balance is worked out from the bills, credit notes and payments, and Nella says so. Where QuickBooks reports the balance in your home currency and the statement is in the supplier’s, the balance is worked out in the supplier’s currency. Example from a Xero demo company, October 2026: a statement showed A$973.50 owed and the books A$533.50; Nella matched 10 of the 11 lines and found one invoice not in the books and one payment the supplier had not applied, A$220.00 each, which explain the whole A$440.00 difference.
Nella provides financial information and education, not accounting or tax advice. Nella shows you the numbers. When a question needs professional judgement, such as a filing or a tax decision, Nella says so and points you to a qualified accountant.
