What can an AI finance director do for a small business?
An AI finance director reads your live accounting data and the work of the other finance roles, then gives one ranked answer to "what needs me?": the items that matter most this week, how the business is performing, and what could not be checked. It prepares weekly briefings and a monthly management pack. Decisions, such as whether to pay a dividend, stay with the directors.
What a finance director does in a small business
A finance director (in the US, usually a CFO) owns the whole picture. They know how the business is performing, whether cash will hold, what is due to the tax authorities and Companies House, and which of those needs attention first. They turn the detail from bookkeeping, credit control and payroll into a short list the directors can act on.
Most small businesses cannot justify that role full-time. Some use a part-time or fractional finance director a few days a month. Many have nobody, so the owner pieces the picture together from the accounting software when there is time.
What an AI finance director does
Nella’s Finance Director leads a team of eight other AI roles, each covering one area of finance (see What is an AI finance team?). It does four things.
1. Answers “what needs me?”
Every role puts what it finds on one team board. The Finance Director gives you the top items in the board’s order, each with the role behind it, the amount involved, how urgent it is and the next step: approve, mark as done, or review. If more items are waiting, it says how many.
The order is not a matter of opinion. The board ranks every item by one score: urgency, the amount, compliance weight, whether something is blocked and whether someone is waiting, then the soonest due date. The Finance Director keeps that order and does not re-sort it.
2. Gives the position, and how far to trust it
Next come revenue, net profit, cash at bank, runway and the next 30 days of cash, each with its period and as-at date. It also says how reliable the books underneath are. If the bank is not reconciled or a month has not been checked, it says so rather than presenting the figures with false confidence.
3. Says what it could not check
A missing figure is reported as missing, never as zero. An empty deadline list that was not assessed is reported as not assessed, never as “nothing due”. Facts, estimates and projections are kept visibly apart.
4. Prepares briefings
A weekly finance brief and, each month, a management pack you can take to a board meeting or your lender. The Finance Director quotes each figure from the role that produced it and never recalculates one.
Questions that span two roles: a dividend
“Can I pay myself a dividend?” touches profit, cash and company law. In the UK, GOV.UK sets out the basics: a company must not pay out more in dividends than its available profits from the current and previous financial years, the directors must hold a meeting to declare the dividend and keep minutes, and each payment needs a dividend voucher.
Nella’s Finance Director shows two separate facts: the result of the distributable-profit check from your books, and the cash headroom. Cash in the bank is not the same as profit available to distribute. A passed check is not permission to pay. Whether to pay is the directors’ decision, and the tax side is a question for your accountant. Once the directors have decided, Nella’s Company Secretary prepares the board minute and dividend voucher for UK companies.
Example · illustrative figures
Question: “How is the business doing, and what needs me this week?”
What needs you. (1) Receivables: £10,900 across three invoices past terms; chase messages are ready to approve. (2) Tax & Compliance: VAT return due in 9 days. (3) Payroll: cash on the 28th covers payroll with £6,200 to spare. Two more items are on the team board.
Position. October revenue £84,300, net profit £9,100, cash at bank £48,200 at 31 October. Runway 7 months on the last three months’ run rate.
Confidence. Two October bank lines are unreconciled, so October profit may move. Payables could not be assessed: three supplier bills have no due date.
